About the Role

Reporting to the Operations Manager, the Operations Specialist provides support to a busy operations team, carrying out a range of operational and administrative activities while providing an excellent customer experience. The successful candidate will be a highly driven and ambitious individual with a results-focused approach to their work and relevant experience in a busy operations/transport environment.


Contract Type: Permanent (6-month probationary period).

Working Hours:  8.30am to 5.30pm, Monday to Friday (option of hybrid working post probation).

Location: Blakes Cross, Lusk, Co. Dublin


Duties & Responsibilities:

  • Plan, organise and execute freight support activities across the team, within the UAF/ACE system.

  • Deal with inbound emails, calls & queries liaising with customers and suppliers where necessary.

  • Assist with KPI data and reporting updates and responsible for working on Exports function.

  • Develop constructive & cooperative working relationships with colleagues, customers & suppliers.

  • Responsible for assisting with Health & Safety and ensuring compliance with Company policies and best practice.

  • Receive files from the wider teams, print the documents and verify if received documentation is complete depending on the shipments and client’s requirements. Any incomplete documents need to be obtained from customer.

  • Account management from A-to-Z process will be required.

  • Request the airfreight line/Carrier charges and send a delivery pre-alert to the transporter. File needs to be sent to the operators and monitored for release.

  • Monitor ETAs daily and update shipments where required.

  • Imperative that dates are confirmed with Airfreight Lines/Carriers and Co-Loaders.  Accuracy of information provided is critical.

  • Telephone updates with customers received and made on document requests for shipment status update.

  • Assist with general administration tasks across the wider teams (Air & Ocean).


Essential Requirements

  • Experience in freight forwarding environment, essential.

  • Ability to manage multiple deadlines and work on own initiative.

  • Excellent attention to detail and accuracy.

  • Proficiency in Microsoft Office and strong reporting skills.

  • Excellent written and verbal communication skills.

  • Experience liaising with customers, suppliers, and carriers.

  • Experience coordinating and monitoring shipments, including ETA management.

  • Strong work ethic with ability to work independently as well as in a team.

  • Excellent customer service skills.

  • Self-motivated and driven to achieve set targets.
